QuickBooks Will Now Chase Late Invoices and E-File Sales Tax for You — What Intuit Announced

Intuit used its Intuit Connect conference in Las Vegas this week to unveil upgrades to Intuit Intelligence, the AI engine behind QuickBooks. For small business owners, the most useful changes are in QuickBooks itself: AI that flags aging invoices and follows up with customers automatically, a built-in business credit card and bill pay, and sales tax tools that let you check for problems and file with state agencies inside the app. Intuit did not publish prices or firm release dates for most of it, so here is what was announced, what that could mean for your books, and what to ask before you rely on it.

The big change: software that chases your late payments

Intuit says its QuickBooks AI will flag aging invoices, benchmark them against peers and automatically follow up with customers. The company says this helps businesses get paid four days faster on average. That figure is Intuit's own claim from the announcement, not an independent finding.

The problem it targets is real. Intuit's late payments report found that nearly three in five small businesses have invoices 30 or more days overdue, up from 47% last year. Slow payers drain cash that owners need for payroll, inventory and rent, and chasing them is time most owners do not have.

Before you switch on automated follow-ups, decide how you want your business to sound. Customer relationships depend on tone, and a reminder that is too aggressive can cost you a long-term client. Ask whether you can review and edit the message, set different rules for different customers, and pause follow-ups for accounts you are negotiating with.

Money management: a card, bill pay and capital

Intuit also said QuickBooks adds the Intuit Business Credit Card, integrated bill pay and capital offered when needed. The announcement did not give rates, fees, credit requirements or limits. Any financing offer should be compared with the alternatives before you accept it. Our guide on the SBA loan explains one common alternative and the paperwork it requires.

A card and bill pay inside your accounting software can save time, because payments are recorded where your books live. The trade-off is concentration. If your card, payments and financing all come from the same vendor, it is harder to leave. Keep your main business bank account separate and under your own control.

Sales tax: check before you file, then file in the app

For owners who collect sales tax, Intuit announced three changes:

    • A redesigned liability report.
    • A pre-file discrepancy check, designed to catch mismatches before you submit.
    • In-app e-filing and payment to state agencies.

Sales tax errors are expensive because they stack up across states and months. A pre-file check is the most promising piece, since it can catch a mistake before it becomes a notice. The announcement does not say which states are supported for e-filing, so confirm that yours is included. Whatever the software does, the filing remains your responsibility, and an accountant should review your setup at least once.

Payroll grows into hiring and benefits

Intuit says QuickBooks is expanding payroll into hiring, benefits and team management for growing employers, under the label of human capital management. No details on cost or timing were provided. If you are weighing platforms, Gusto announced a similar expansion last week; compare features and total price rather than assuming either is cheaper.

What was announced for accountants and larger firms

Much of Intuit Connect was aimed at accounting firms, but it affects owners who work with one. Intuit announced:

    • Agentic Books Close, which automates more of the monthly close by following a firm's standard procedures and logging actions in an audit log. Accountants supervise, review, approve and handle exceptions.
    • Firm Playbooks and portfolio intelligence, which standardize client onboarding and surface anomalies and benchmarks across a firm's clients.
    • ProPartner, a program offering training, certifications, rewards and discounts, launching in early 2027. Intuit says firms will later be able to connect with businesses on its platform that need their expertise.

Intuit says more than 250,000 firms have adopted its Accountant Suite since it launched a year ago.

For mid-size growers, QuickBooks Online Advanced and Intuit Enterprise Suite got industry editions: more investment in construction, nonprofit fund and grant accounting, and manufacturing features such as multi-location inventory and multi-level bills of materials. A revenue management tool covering pricing, billing, collections and revenue recognition depends on Intuit's pending acquisition of Sequence. Multi-entity consolidation, multi-currency and expanded reporting also arrive.

What is missing from the announcement

Reporting on the event does not include prices for any product or feature. It also gives release dates for only one item, ProPartner. That leaves a long list of questions owners should ask before planning around any of this:

    • Which features are included in my current QuickBooks plan, and which cost extra?
    • When does each feature reach my plan, and in which states?
    • What are the rates, fees and eligibility rules for the business credit card and capital?
    • Can I review, edit and pause automated customer reminders?
    • Where is my data stored, and can I export it if I leave?

How to use this if you run a small business

    Start with the cash problem

If you have overdue invoices today, do not wait for software. Send reminders, call your slowest payers and write payment terms on every invoice. Then use automation to make that routine stick. Our readers have often told us that the habit matters more than the tool.

    Check your books first

AI follow-ups and benchmarks are only as good as your data. If invoices are miscategorized or customers are duplicated, clean that up first. A clear profit and loss statement shows whether faster payment actually changes your margins.

Keep a human in the loop

Automated filing and automated customer messages both speak for your business. Review the first few before you trust the rest, and keep an accountant involved for sales tax.

    Watch for fees

When a software vendor adds a card, bill pay and financing, each can carry fees. Compare them with your current bank and card terms before you move anything.

    The bottom line

Intuit's announcements point toward accounting software that does more of the follow-up work: chasing invoices, checking sales tax and handling bills. The invoice reminders and sales tax checks are the most practical for a small business, but prices and rollout dates have not been published. Ask Intuit or your accountant what applies to your plan, test the features on a small set of customers first, and keep control of your bank account and tax filings.
